Enter a zero insurance payment amount deposit for OhioCare HMO. Using the List Only Claims That Match option in Claim Management, locate the patients with capitated plans who visited the practice in October 2010. Using the Apply Payment/Adjustments to Charges window, apply the zero amount deposit to adjust the patient accounts to a zero balance.
Date: November 4, 2010
1. In the Deposit List dialog box, click the New button. (If a Confirm box appears with a message about entering a future date, click No, and click the New button again.) The Deposit dialog box appears.
2. In the Payor Type box, select Insurance. Press Tab.
3. Select Electronic in the Payment Method box.
4. Verify that 0.00 is the amount displayed in the Payment Amount box, and press Tab.
5. Accept the default entry of "A" in the Deposit Code box. Press Tab.
6. Click 15-OhioCare HMO in the Insurance drop-down list.
7. Click the Save button. The Deposit List window reappears.
8. Open the Claim Management dialog box.
9. Click the List Only button.
10. In the List Only Claims That Match dialog box, select 15- OhioCare HMO in the Insurance Carrier drop-down list.
11. Click the Apply button. The Claim Management window appears with the capitated claims listed. In this case, there is only one capitated claim. (Note: Use the Edit button to view details of the claim, verifying that the transactions took place in October 2010.) Note the patient chart number for the claim, and close the Claim Management window.
12. You are returned to the Deposit List dialog box. With the zero insurance payment amount deposit selected, click the Apply button.
13. Select the capitated patient in the For field.
14. Identify the amount in the Remainder column, and enter an equal amount in the Adjustment column. Press tab to the end of the row, until the remainder amount changes to zero.
15. Click the Save Payments/Adjustments button. Then, to verify that the account has been adjusted to a zero balance, use the View Transactions button to open the Transaction Entry dialog box and display the capitated patient's transaction information. When finished viewing the data, close the Transaction Entry dialog box.
16. If there were other patients with capitated claims in October, you would repeat the process for each patient's account.
17. Close the Apply Payment/Adjustments to Charges dialog box.
18. Close the Deposit List dialog box.
